The form was working. Everything after it was not.

Raeven Cole Coaching is a simulated life and career transition practice. The setup reflects a common problem in service businesses. The form collects interest, but the moment after that feels vague. No warm confirmation, no guided path to booking, and no backend that clearly shows who still needs follow-through.

This project focused on the part after inquiry. A cleaner confirmation step, a clearer path to booking, reminders that arrive on time, and a pipeline that finally matches how the client journey actually works.

No Reassurance After the Form

After submitting the inquiry form, visitors landed somewhere generic. There was no confirmation that felt intentional and no clear sense of what would happen next.

Follow-Up Was Slow and Uneven

Responses depended on when Raeven had time to check in. Some inquiries got a quick reply. Others sat too long with no automated touchpoint holding the gap.

No Clear Path to Booking

Even when someone was ready to move forward, the calendar was not part of a guided flow. People had to find the next step on their own.

Pipeline Stages Did Not Match the Real Journey

The backend no longer reflected how leads actually moved through the business. It was hard to tell who had just inquired, who was waiting, and who had gone quiet.

A cleaner path. A backend that holds together.

The build focused on what happens after inquiry. Four pages on the front end, plus the backend pieces that move contacts toward booking without leaving everything to manual follow-up.

Inquiry Page

A focused contact form with a calm, low-pressure tone. Collects what Raeven needs without feeling heavy or clinical.

Confirmation Page

A warmer step after form submission that gives reassurance, sets expectations, and points clearly toward booking.

Booking Page

Calendar embed positioned as the next step in the flow, not a disconnected destination someone has to locate alone.

Thank-You Page

Post-booking confirmation with calm expectation setting and a clear sense of what happens before the session.

Confirmation Email

Sent automatically after inquiry submission. Short, warm, and built to move the contact toward booking without pressure.

Reminder Flow

Two-touch reminder sequence around the scheduled session. One email and one SMS, both brief and personal in tone.

Follow-Up Workflow

A short re-engagement sequence for contacts who submit the form but do not book. Checks in once and stops if they book.

Pipeline Cleanup

Stages rebuilt to reflect the actual journey from first inquiry to booked session, so Raeven can see where each lead stands.
